Summary:

The HubSpot Administrator serves as the technical owner and strategic architect of Jet OUT’s HubSpot platform across Marketing, Sales, Service, and Operations Hubs. This role goes beyond basic CRM administration; you'll design and maintain the underlying data architecture that powers our revenue engine, enforce rigorous data hygiene standards across the organization, and serve as the go-to resource for HubSpot training and adoption company-wide. You’ll leverage HubSpot’s AI-powered tools including Breeze AI agents, predictive lead scoring, and conversation intelligence to drive efficiency and surface actionable insights. This is a hands-on, individual contributor role working closely with the Vice President of Revenue, Sales Directors, Marketing, and Client Experience teams. We’re looking for someone who thrives in a high-performance, fast-paced environment and can confidently translate business requirements into a scalable, clean, and intelligent CRM ecosystem.

Job Responsibilities:

  • Platform Ownership & Data Architecture: Serve as the primary administrator and technical architect of Jet OUT’s HubSpot environment. Design, document, and maintain the CRM data architecture including custom objects, properties, associations, and lifecycle stage definitions ensuring the platform scales cleanly as Jet OUT expands into new markets.
  • Data Hygiene & Governance: Own and enforce data quality standards across all HubSpot objects (Contacts, Companies, Tickets). Implement and manage deduplication protocols, validation rules, standardized naming conventions, data import/export procedures, and routine audits to ensure the CRM remains a trusted, single source of truth.
  • AI Tool Enablement: Deploy and optimize HubSpot’s AI-powered capabilities including Breeze AI copilot, conversation intelligence, and automated data enrichment to enhance service productivity, improve lead qualification, and accelerate campaign execution.
  • Service Hub Management: Administer and optimize the HubSpot Service Hub, including ticketing pipelines, knowledge base configuration, customer feedback surveys, SLA tracking, and service automation. Partner with the Client Experience team to ensure owner inquiries, trip support requests, and service issues are tracked, routed, and resolved efficiently within the platform.
  • Training & Adoption: Serve as Jet OUT’s internal HubSpot subject-matter expert. Develop and deliver onboarding programs for new team members, conduct recurring training sessions on platform features and best practices, create self-service documentation and how-to guides, and provide hands-on coaching to drive consistent CRM adoption across Service, Marketing, Operations, and Client Experience.
  • Workflow Automation: Design, build, and optimize automated workflows for lead routing, deal pipeline management, task creation, email sequences, service ticket escalation, and internal notifications to streamline operations and reduce manual effort.
  • Reporting & Dashboards: Create and maintain custom dashboards and reports that provide real-time visibility into service pipeline health, marketing attribution, lead conversion rates, service response times, and owner activity — enabling data-driven decision-making for leadership.
  • Integration Management: Manage and troubleshoot integrations between HubSpot and third- party tools such as FL3XX, Monday.com, email platforms, website forms, and other business systems, ensuring clean data flow across the tech stack.
  • Continuous Improvement: Stay current on HubSpot product updates, AI feature releases, beta programs, and industry best practices, proactively recommending platform enhancements that support Jet OUT’s growth and competitive positioning.

Requirements:

  • 3+ years of hands-on HubSpot administration experience across multiple Hubs (Marketing, service, Service, and/or Operations).
  • Demonstrated experience designing and maintaining CRM data architecture, including custom objects, property schemas, association mappings, and lifecycle stage frameworks.
  • Strong track record of implementing and enforcing data hygiene programs — including deduplication, validation rules, data audits, and governance protocols.
  • Experience deploying and optimizing HubSpot AI tools such as Breeze AI copilot, predictive lead scoring, AI content assistants, and conversation intelligence.
  • Hands-on experience administering HubSpot Service Hub, including ticketing pipelines, knowledge base, SLAs, and customer feedback workflows.
  • Proven ability to develop and deliver CRM training programs, onboarding materials, and self- service documentation that drive user adoption.
  • HubSpot certifications strongly preferred (HubSpot Admin, Revenue Operations, Inbound Marketing, or similar).
  • Proven experience building complex workflows, custom reports, and automated lead and service management processes.
  • Experience managing HubSpot integrations with third-party platforms via native connectors or middleware (e.g., Zapier, Operations Hub).
  • Excellent analytical skills with the ability to translate data into actionable business insights.
  • Exceptional communication and interpersonal skills — comfortable training non-technical users and partnering with senior leadership.
  • Self-motivated and detail-oriented with a strong desire to optimize and improve systems in a fast- moving, performance-oriented environment.
