Executive Assistant to CEO

Job Description

Pyramid Consulting Group, LLC, headquartered in NYC, is seeking a highly organized, tech-savvy, proactive Executive Assistant to support the CEO across both business and some personal priorities. We are looking for someone who can operate as a true right hand and support partner, someone who thrives in a fast-paced environment, anticipates needs before being asked, and genuinely enjoys bringing structure, organization, and efficiency to a scaling company.

This role is hybrid and requires someone who is commutable to Westchester, NY, and the NYC office at times. The ideal candidate is exceptionally detail-oriented, highly proficient with technology and AI tools, strong in written communication, and comfortable managing multiple moving priorities simultaneously.

Key Responsibilities

  • Manage and prioritize the CEO’s calendar, meetings, travel, and daily workflow
  • Draft, edit, and manage professional correspondence and client communications
  • Prepare reports, presentations, spreadsheets, and executive summaries
  • Create and manage SOWs, proposals, RFPs, vendor documentation, and business-related materials
  • Track certifications, insurance documents, compliance items, and operational deadlines
  • Assist with business operations, special projects, and strategic initiatives
  • Organize information, systems, files, and internal processes to improve efficiency
  • Conduct research and gather data to support business decisions
  • Coordinate with clients, vendors, partners, and internal team members professionally and confidently
  • Support occasional personal assistant responsibilities as needed
  • Identify opportunities to leverage AI and automation tools to improve productivity and workflows

Technology & AI Requirements

Technology proficiency is one of the highest priorities of this role.

Candidates must be:

  • Extremely comfortable learning and using new technology platforms
  • Experienced using AI tools such as ChatGPT, Claude, and similar AI productivity tools
  • Able to use AI to improve organization, communication, reporting, research, and operational efficiency
  • Comfortable troubleshooting technology independently and learning quickly
  • Highly proficient in Microsoft Excel and reporting

Qualifications

  • Previous experience supporting an executive, founder, or entrepreneur preferred
  • Experience implementing systems or introducing operational efficiencies
  • Exceptional organizational and multitasking abilities
  • Strong written and verbal communication skills
  • Ability to manage confidential information with professionalism and discretion
  • Self-starter with excellent judgment and problem-solving skills
  • Calm under pressure and adaptable in a fast-moving environment
  • Strong follow-through and ability to execute without constant direction
  • Must be commutable to Westchester, NY and NYC at times
  • Highly resourceful and proactive
  • Naturally organized and detail-oriented
  • Comfortable working independently
  • Curious about business, operations, technology, and innovation

Salary: $80K - $90K
