Position Summary:

The University of Northern Colorado (UNC) Office of Admission seeks an inclusive and enthusiastic
professional colleague to join our team. Reporting to the Director of Admissions, the Associate
Director of Systems & Operations (ADSO) is tasked with management of the Slate CRM and all
organizational processes and workflows to create the best possible user experience for prospective
students and internal stakeholders alike. As the technical and operational leader, the ADSO is a
designated Slate Captain and a key member of the admissions leadership team.
The Associate Director of Admissions Systems & Operations is expected to work collaboratively with
internal stakeholders to lead problem-solving efforts and address needs and requests related to
admissions operations and system configuration. The ADSO will guide the strategic development
and implementation of solutions for all matters related to admissions operations, application
processing, and system integrations. The Associate Director of Systems & Operations has
leadership and supervisory responsibilities for two direct reports and a hybrid operations team
consisting of six full-time staff members in total.

Job Duties:

CRM Software Systems Management (Essential 45%):

  • Provide supervision and leadership to the Admissions CRM Program Manager consistently delegating to them meaningful work in support of fulfilling all CRM responsibilities.
  • Technical lead and primary Slate Captain responsible for management of several Admissions Slate CRM database tools including applications, auditing, configurations, import and data processing, payments, records and datasets. Overseeing the cleaning and uploading of prospective student data into the CRM system. Work with outside vendors and customize software as needed to deliver critical data/processes.
  • Manage and coordinate all Slate system upgrades, testing, and troubleshooting.
  • Coordinate with admissions leadership and functional leads to gather business requirements, assess current functionality and processes, and suggest system enhancements in support of goals and initiatives. Implement Slate tools that enable the admission staff to manage their territories effectively, efficiently, and strategically.
  • Provide technical and strategic support to Admissions team members and other key stakeholders to maximize our use of additional Slate tools including homepage, dashboards, tabs, events and forms, communications, portals, queries, branding, reader and decisions, and automation including collaborative development of origins, interactions/activities, populations, rules, and users & access.
  • Work in collaboration with Admissions Leadership Team to establish the admissions technology strategy including the optimal configuration, usage, and evaluation of the performance of our admissions technology.
  • Maintain and continuously work to improve all data integrity efforts including accurate display of and updates to prospect and application records, document management imports/exports, data uploads, API integrations and accurate data transfer of data workflows between Slate and internal and external systems.
  • Evaluate new technology and functionality so that recruitment systems continue to evolve and improve to support enrollment. Consider all proposals (short and long-term) and provide insight and recommendations regarding the costs, opportunities, risks and recommendations to assist with data-informed decision making.
  • Serve as the admissions contact with software vendors and Information Management and Technology staff specific to recruitment systems. Manage the implementation, development and maintenance of all new and existing admissions and recruitment technologies always seeking to enhance the user experience and increase processing efficiencies to meet established
performance goals.
  • Oversee the development and implementation of new projects making sure to document requirements and workflows, assign and monitor responsibilities, and control scope of deliverables for all updates or new implementations related to admissions and recruitment systems. Engage functional users in testing prior to go-live whenever possible.
  • Assist with the creation and organization of key documents and data workflows for Slate and other Enrollment Management software.
  • Provide guidance, role and users permissions, and training to admissions teams and individuals to create an inclusive, growth-minded learning environment for all staff and student employees.
  • Serve as the primary liaison across the college to represent the operations and computing needs of the office of Admissions. This also includes working with departmental operations team to ensure data management standards are maintained.
  • Work with the Director of Admissions and CRM Program Manager to identify, query, analyze, student recruiting data (admission funnel), and enrollment trends to inform and support decision making regarding UNC enrollment, retention, recruiting/admissions strategies.
  • Regularly seek to expand process automation and implement improvements to application workflows, readers bins and workflows, material and document processing, and application configuration and mapping for external application integrations with Common Application, PBCAS, ATCAS and CSDCAS.
  • Responsible for making sure all systems and process workflows adhere to documented policies and procedures as defined by the department, university, governmental and regional accreditation agencies.
Admissions Operations (Essential 40%):
  • Provide supervision and leadership to the operations team including an Assistant Director of Undergraduate Operations, Undergraduate Processing Manager and (3) Undergraduate Processing Specialists. Consistently delegate meaningful work and provide support, training and accountability reports as needed to meet goals and expectations related to application and material processing, direct customer service, decision release and adherence to policy.
  • Assess existing functionality and work collaboratively and cooperatively with key stakeholders to brainstorm, develop, test and implement new strategies and innovative enhancements so that admissions processing can meet and exceeding existing team and unit goals.
  • Create, monitor, and maintain the master timeline and instructional documentation for all application process workflows and official operations functions including the tasks and actions required to effectively open and close term cycles for all applications including but not limited to the undergraduate, graduate, non-degree seeking, Aims2UNC, dual-enrollment, returning students and Intensive English Program.
  • Coordinate planning and execution of annual and ongoing trainings for internal and universities audiences to ensure understanding, communicate expectations, and empower teams to meet established goals.
  • Develop, assign, and monitor queries as needed to assist with day-to-day operations, data integrity and troubleshooting record errors. Maintain and develop internal process documentation and training resources to support operations staff and student processing assistants and best utilize features and functions of all recruitment software
  • Responsible for maintaining accurate documentation, knowledge and coordination of all critical processes including the first-year scholarship guarantee, counselor and committee review, scholarship criteria, criminal/disciplinary review, admissions reconsideration and scholarship appeals to ensure equitable application of all related UNC policies and procedures.
  • Partner with the Admissions Marketing & Communications Team to support the development of accurate and timely communications and messaging throughout each stage of the application of enrollment process.
  • Responsible for maintaining and updating the university catalog to ensure admissions policy and requirements are accurate at all times across all populations. Submit or delegate requests to modify catalog language and proactively communicate updates to admissions staff and teams so that appropriate and timely updates to standard communications, workflows, data integrations and student application portals remain accurate.
Other Responsibilities (Essential 15%):
  • Maintain membership in professional associations and listservs and proactively seek professional development opportunities to grow and advance industry/community support resources.
  • Provide support to the Graduate Admissions team and Extended Campus Enrollment Coaches as needed.
  • Support strategic enrollment management (SEM) planning and implementation efforts through committee involvement and identification of technological and process improvement that support the University's strategic enrollment management plan.
  • Research and respond to ad hoc data requests and inquiries from external stakeholders in support of strategic decision-making, provide recommendations based on data findings.
  • Train admissions staff and campus partners on the recruitment and admission systems technology functionality and features.
  • Other duties as assigned.

Minimum Qualifications:

  • Required bachelor's degree from a regionally accredited institution; Master's degree preferred
  • Demonstrated commitment to DEI efforts and commitment to removing systemic barriers to promote an inclusive recruitment experience

Preferred Qualifications:

  • Fundamental understanding of student information systems/CRM databases (Slate Technolutions CRM, Ellucian Banner SIS), relational databases, role-based access permissions, software configurations and system integrations/APIs
  • A background in business operations, relational-database management, system setup and configuration
  • Familiarity with higher education including an understanding of annual admission cycles, admissions processing, student recruitment activities, and higher education policy at the institution, state, and federal level is highly preferred
  • Strong organizational and critical thinking skills. Attention to detail is a must.
  • Desire to utilize creativity and an excitement for complex problem-solving
  • Innovative, resourceful and capable of managing multiple competing priorities while maintaining a commitment to providing outstanding service at all times
  • Experience supervising and leading staff towards common goals and established goals and metrics through Supervision and leadership training/experience,
