Executive Assistant

Summary

Todd & Weld is seeking a highly organized, polished, and tech-savvy Executive Assistant to support senior level attorneys with a dynamic portfolio of professional, civic, and speaking-related commitments. This role requires excellent judgment, exceptional discretion, and the ability to manage complex logistics in a fast-paced environment. The ideal candidate is proactive, resourceful, emotionally intelligent, and able to anticipate needs while ensuring day-to-day operations run smoothly and professionally.

Key Responsibilities

  • Manage a complex and frequently changing calendar, including appointments, meetings, personal commitments, and external engagements.
  • Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation, itineraries, and last-minute changes. Create and revise itineraries.
  • Organize speaking engagements from end to end, including outreach, scheduling, briefing materials, travel logistics, venue coordination, and follow-up.
  • Conduct research, prepare and proofread correspondence, presentations, briefing documents, agendas, and background materials.
  • Serve as a trusted gatekeeper and liaison with professional contacts, event organizers, legal and civic stakeholders, and household or personal vendors as needed.
  • Handle sensitive and confidential information with the highest degree of discretion, professionalism, and sound judgment.
  • Track priorities, deadlines, action items, and administrative details to ensure nothing falls through the cracks.
  • Use technology confidently to manage calendars, documents, virtual meetings, travel platforms, and digital filing systems.
  • Anticipate needs, solve problems quickly, and maintain calm under pressure in a high-volume, fast-paced environment.
  • Work as a close liaison with internal stakeholders to ensure work is coordinated and team-oriented work is being completed and update parties as appropriate
  • Other duties as assigned.

Required Qualifications

  • Strong technical skills, including advanced proficiency in Microsoft Office, Outlook, calendar management tools, video conferencing platforms, cloud-based document systems, and firm approved AI.
  • Ability to coordinate complex travel and event logistics.
  • Excellent written and verbal communication skills with strong attention to detail.
  • High emotional intelligence, professionalism, and interpersonal judgment.
  • Ability to prioritize competing demands and adapt quickly in a fast-paced environment.
  • Unquestioned discretion and ability to manage confidential and sensitive matters.
  • Strong organizational skills with the ability to work independently and anticipate needs.
  • Some flexibility to work on non-business hours when needed.

Preferred Qualifications

  • Prior experience supporting a judge, attorney, elected official, academic leader, or other senior executive in a high trust environment.
  • Experience coordinating public appearances, speaking engagements, board service, or media-related logistics.
  • Familiarity with legal, nonprofit, academic, or public-sector environments.
  • Bachelor’s degree or equivalent combination of education and senior-level support experience.

Work Environment

This position operates in a professional office environment. The role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. Occasional overtime may be required during peak periods.

Target salary for this position is commensurate with relevant experience: $60,000 - $80,000.
